What Promotional Gifts Actually Get Used (Not Thrown Away)?

What Promotional Gifts Actually Get Used (Not Thrown Away)?

Promotional gifts get used when they do a job in the recipient's week, survive the first use and carry a small logo. Fleece, jackets, drinkware, bags, blankets and power banks lead ASI's 2026 keep-and-use data. PPAI's 2025 research found 54% of people still have the last promotional product they received. It also found more than 60% reject an item immediately when the material or construction looks poor. Below: what people keep, why gifts end up in the bin, and a six-question test to run before you order.

Which Promotional Gifts Do People Keep and Use Most?

Outerwear, power banks, bags, drinkware and blankets are kept and used most. ASI's 2026 Ad Impressions Study (US edition) asked people how long they keep each category and how often they use it.

Item Kept a year or more Used
Fleece and jackets 87% 78% weekly
Power banks 85% 77% weekly
Bags 84% 92% monthly
Drinkware 80% 77% weekly
Blankets Half keep them over five years 95% monthly

These figures record what people say, not what a tracker saw. ASI's Canadian edition asked a different question: what people are most excited to receive. Food gifts led at 53%, then fleece and jackets at 51%, t-shirts at 49%, drinkware at 42% and blankets at 37%. Albertans ranked fleece and jackets first, followed by food gifts, blankets, drinkware and t-shirts.

Calgary's climate fits that ranking. Environment and Climate Change Canada's normals put Calgary's average overnight low below freezing October through April. For promotional items in Calgary, a warm layer has a daily job for seven months.

Which items last longest? Blankets and umbrellas lead ASI's five-year keep data. Quality Logo Products, a US promotional products retailer, surveyed 1,013 Americans in 2024. In that survey, 24.25% had kept a t-shirt for 10 years or more and 21.20% a bottle opener, ahead of fleece (20.25%) and blankets (19.67%). Our read: the 10-year items each do one job and need no charging or updating. Browse blankets, drinkware, bags and power banks in our promotional products catalogue.

How Many Promotional Gifts Really Get Thrown Away?

No study we found measures it. The closest figure comes from PPAI's 2025 research: 54% of people still have the last promotional product they received. The other 46% covers items that were used up, passed on, lost or binned, and the survey does not separate them. A real discard rate needs items tracked over time, and no survey we found does that.

The 40% landfill figure that circulates online does not hold up. It is attributed to ING. Calgary economist Todd Hirsch, writing in The Globe and Mail, notes it appears to come from ING's 2016 Christmas survey. That survey asked 13,500 people in Europe, the US and Australia about unwanted Christmas gifts, not corporate swag. Of the European recipients with an unwanted gift, more than half kept it anyway. Another 25% regifted it, 14% sold it and 11% tried to return it. The two ING documents we read contain no landfill number.

"Thrown away" is one of four exits: keep and use, stash, pass on, or toss. Work is where many long-kept items come from. In Quality Logo Products' survey, 54% said their longest-kept item came from their employer. Of frequent users, 91% would keep using it after leaving the company. Our read: a gift passed to a colleague still works for you when the logo is small enough for the next owner to use.

Why Do Promotional Gifts End Up in the Bin?

Promotional gifts end up in the bin for six reasons: they break, expire, go obsolete, don't fit, join a crowd or carry a loud logo. This is Merch Express's synthesis of the data below, not a published study.

Failure What the data shows Fix
1. Breaks on first use PPAI 2025: over 60% reject an item immediately for poor material or construction Order a sample and test it
2. Expires Quality Logo Products: 66.67% keep calendars under a year Skip dated items
3. Goes obsolete Same survey: 44.75% keep headphones under a year Pick a power bank over earbuds
4. Doesn't fit Staff threads on Reddit return to wrong sizes and dress-code bans Collect sizes before you order
5. Joins a crowd PPAI 2025: 37% reject items they already own too many of Pick a category the recipient lacks
6. Carries a loud logo PPAI 2025: 44% prefer subtle branding Make the logo smaller than the product

Fix the first failure before anything else. Over 60% is the largest rejection figure PPAI reports. People describe it the same way. Staff threads on Reddit mention umbrellas that broke on the second use and backpacks that fell apart on the road. Those are anecdotes, not rates, but they match the survey.

Does Quality Decide Whether People Keep a Promotional Gift?

Yes. Quality is the largest filter in the data. PPAI's Product Power 2026 study of 5,000+ US consumers found low durability is the top reason an item feels cheap or forgettable, at 62.0%. Poor design followed at 54.7%. PPAI's 2021 study of 5,674 end users in the US and Canada found useful is the top reason people keep an item, at 75.4%. Quality Logo Products' respondents gave a similar order: usefulness 84%, quality 62%, looks 54% and the company itself 29%.

Durability also outranks sustainability. In Product Power 2026, durability signals quality to 70.4% of consumers and eco features to 25.0%. An eco-friendly item that ends up in a drawer after a week has not saved anything.

Price follows quality. In Product Power 2026, 2.7% said an item under US$5 feels premium, against 39.6% for US$10 to US$25. These are US dollars and US consumers, so read them as a direction, not a Canadian price list. Cut the quantity of promotional merchandise before you cut the quality if the budget is fixed. Test the sample the way a recipient would: wash the shirt, fill the bottle, zip the bag, and charge the power bank twice.

What Makes Promotional Clothing Worth Wearing Every Week?

Fit, fabric and a small logo make promotional clothing worth wearing. ASI's 2026 US data shows 80% keep a t-shirt a year or more and 90% wear one monthly. Polos follow at 73% kept and 80% worn monthly. In Quality Logo Products' survey, 18.78% had kept a sweatshirt for 10 years or more.

Each garment has a job. Custom t-shirts suit events and giveaways. Custom polos suit client-facing staff. Custom sweatshirts cover cold-weather crews and teams. Merch Express prints DTF from a single piece, screen prints one to four solid colours and embroiders logos. Custom promotional t-shirt printing works when the shirt is soft and the print is small.

Subtle branding matters because 44% of PPAI respondents prefer it. Good promotional apparel also needs the right size. Collect sizes before the order, because a shirt that does not fit goes to the donation pile. Wearing is not the same as being seen. Reddit commenters describe wearing company shirts to bed and for yard work, which gives the brand no audience.

Should Recipients Choose Their Own Promotional Gift?

Yes. Choice fixes two failure modes at once: wrong size and wrong item. PPAI's 2025 generational study of 3,000+ US consumers aged 16 to 60 shows why. Gen Z ranks office items at 27%, while Gen X ranks them at 55%. The study measured what people want, not what they keep. PPAI's 2025 research also found 48% say a personalized item or a short note makes a gift more memorable.

Merch Express runs webstores for clubs and organizations. Each member picks the item and size, with on-demand single pieces or bulk production. On-demand stores print single orders, so nobody holds a box of leftover sizes. In the Reddit staff threads we read, letting people pick drew repeated praise.

Are Food, Gift Cards or Cash Better Than Branded Gifts?

Food is more popular, but food, cash and gift cards leave no logo in sight. ASI's Canadian edition ranks food gifts first at 53%. In ASI's US edition, 72% of recipients keep and eat food gifts because they enjoy them.

Cash and gift cards add a tax step. The CRA allows non-cash gifts up to $500 per employee per year tax-free, taxes included. Most gift cards count as near-cash and are taxable. The CRA lists t-shirts and mugs as items of trivial value. Confirm your own case with an accountant. Some Reddit commenters ask employers to skip the swag and pay cash instead. A cash bonus is taxable income. A sweatshirt under the $500 limit is not.

Pair branded merchandise with a small consumable. The consumable gets used up within a week. The branded item carries your logo for a year or more.

Which Promotional Gifts Suit Staff, Clients, Events and Non-Profits?

Match the item to the relationship: warm clothing for staff, one premium piece for clients, easy-to-carry items at events, wearables for volunteers.

For corporate promotional products, let staff and clients pick the size and keep the logo small. In Alberta, ASI's Canadian data puts fleece and jackets first, so they are the safest opening pick for corporate promotional products in Calgary. PPAI's 2021 study found 26.9% of people received promotional items from an employer, against 47.2% by mail from a business. Some employers and government bodies cap the value of gifts staff may accept, so check the recipient's policy before you order client gifts.

At event merchandise tables, people grab what is free. Shampanier, Mazar and Ariely (Marketing Science, 2007) found a free item pulls far more choosers than a one-cent price gap predicts. Our read: that explains why event tables empty fast and bins fill. Hand out one item people already use weekly, including bags and drinkware.

People keep what reminds them of an event. PPAI's 2021 study ranks that second among reasons to keep an item, at 38.3%, behind useful at 75.4%. For volunteers and fundraisers, non-profit merchandise works when it is something they wear at the next shift: toques, sweatshirts and vests.

Which Promotional Gifts Work for the Holidays?

Warm, useful items work best: sweatshirts, toques, blankets and drinkware. ASI's Canadian data backs the pick. Fleece and jackets (51%), drinkware (42%) and blankets (37%) all rank among the top five items Canadians are most excited to receive.

Choose a winter design over a dated "Happy Holidays 2026" print. Our read: a date-free design stays in use in January. A sweatshirt or blanket counts toward the CRA's $500 non-cash limit, while a logo t-shirt or mug does not. Order catalogue promotional items before apparel, since they take longer. Approve promotional item mockups about three weeks before your ship date and apparel mockups about two weeks before. Our guide to popular types of holiday custom merchandise for businesses in Canada covers order dates and CRA rules in full.

How Do You Pick a Promotional Gift People Keep?

Run the Keep Test: six yes-or-no questions before you place an order. It is Merch Express's checklist, built from the data above, not a validated model.

  1. Would the recipient buy this for themselves? (PPAI: low durability makes an item feel cheap for 62.0%.)
  2. Will it survive six months of normal use? (PPAI: 65% are very likely to keep a well-made branded item that long.)
  3. Can the recipient pick the size, colour or item?
  4. Is the logo smaller than the product? (PPAI: 44% prefer subtle branding.)
  5. Is it something the recipient does not already own five of? (PPAI: 37% reject on that ground.)
  6. Would they use it outside work? (Quality Logo Products: 91% of frequent users would keep using a work item after leaving.)

Answer no to any question and swap the item or fix the detail. A fleece usually clears questions 1, 2 and 6, and clears question 3 once you collect sizes. Order one sample before the full run if you are choosing promotional products in Calgary or anywhere in Canada. Merch Express has produced custom apparel and merchandise in Calgary since 1994.

What Else Do People Ask About Promotional Gifts?

What is the most useful promotional item?

Fleece and jackets lead the keep-and-use data. ASI's 2026 US study found 87% keep them a year or more and 78% use them weekly. In Canada, they rank second for what people are most excited to receive, at 51%, behind food gifts at 53%. Drinkware and power banks follow on weekly use, at 77% each.

How long do people keep promotional products?

Almost half keep them over five years. PPAI's 2021 study of 5,674 end users in the US and Canada found 48.7% kept promotional products more than five years. Keep time varies by item. Blankets and umbrellas last longest in ASI's data. Calendars last shortest in Quality Logo Products' survey, where 66.67% keep them under a year.

Do promotional products work?

Yes, on recall and on action. PPAI's 2025 research found 61% remember the brand that gave them an item. Of respondents, 76% looked up the brand and 72% say they bought from a brand because of a promotional item. Those figures are self-reported, so read them as upper bounds. ASI found 89% of Canadians view an advertiser more favourably after receiving a promotional item.

Which promotional items should you avoid?

Avoid dated, fragile and overused items. Quality Logo Products' respondents kept calendars (66.67%) and headphones (44.75%) under a year. PPAI found 37% reject items they already own too many of. Order a sample first if the item has a zipper, hinge or battery.

What is the best promotional gift for employees?

A useful item the employee chooses. Custom Ink's 2024 survey of 1,064 US adults at companies with 50+ employees found 81.06% would rather get a gift they would use regularly than a team meal or happy hour. Outerwear, drinkware and bags fit that brief, and ASI's US data puts all three in weekly or monthly use for most owners.

How much should you spend on each promotional item?

Spend enough to clear US$10 if you want it to feel premium. In PPAI's Product Power 2026 study, 2.7% said an item under US$5 feels premium. The share was 19.4% for US$5 to US$10, 39.6% for US$10 to US$25 and 38.2% above US$25. Those are US dollars from US consumers.

Can I order a small quantity of custom promotional apparel?

Yes. Merch Express prints DTF from a single piece. Screen printing suits one to four solid colours in larger runs, and embroidery adds a stitched logo. Quantity tiers start at 1 to 24 pieces.

How long does custom promotional apparel take to produce?

Standard production takes 10 business days. Rush orders take 2 to 9 business days for a 10% rush fee. Catalogue promotional items take longer, so confirm the date on your quote.
